Billing
Plans and billing belong to the active workspace and are managed by that workspace's owner on the web.
Plans & pricing
Which Boxymi plans are available?
Boxymi has Free, Starter, Growth, and Scale plans. Free supports up to 2 members, 1,000 items, and 20 locations; Starter supports 5 members, 5,000 items, and 50 locations; Growth supports 10 members, 10,000 items, and 150 locations. Scale is tailored with Boxymi. See the Pricing page for the current feature comparison and confirm the final offer in the web upgrade flow.
Why is a feature locked in my workspace?
Feature access follows the active workspace owner's plan. Adjustments, cycle counts, low-stock tools, lots, and purchase and sales orders require a paid plan. Batch transfers, expiry tracking, and bundles require Growth or Scale. Confirm that you selected the intended workspace before reviewing its plan.
What happens when I reach a plan limit?
Boxymi blocks the creation or action that would exceed the workspace limit. The owner can review item, location, tag, and member usage from the account area, remove unneeded records where appropriate, or manage the plan on the web.
Invoices & payments
Where can I find invoices or change the payment method?
Web Select the correct workspace, open the account area, and choose Manage billing. Boxymi opens the billing portal for the paid subscription, payment method, and invoices. Only the workspace owner can manage this billing account.
Which currency and taxes will I pay?
The checkout flow shows the final billing currency and any applicable taxes before payment. The workspace's default operational currency does not determine subscription billing.
Canceling your plan
How do I cancel a paid plan?
Web The workspace owner can open Account → Manage plan → Manage billing and use the billing portal to manage or cancel the subscription.
What happens to my workspace after cancellation?
Coming soon The current apps do not document the exact downgrade date or how records above Free-plan limits behave after cancellation. Review the effective date shown in the billing portal before confirming a cancellation.
Account Management
Your account follows you across workspaces; workspace settings, membership, and ownership are managed separately.
Profile & settings
Which profile details can I change?
In Account settings you can update your username and preferred language. Your email address and membership are read-only there. Workspace name, default currency, and operational timezone are changed in the workspace settings by its owner.
Why can I not find a workspace I used before?
First open the workspace selector and check the full workspace list. If it is not present, ask that workspace's owner to confirm your membership or invitation. Editing your personal profile will not restore workspace access.
Signing in
I forgot my password. How do I reset it?
On the sign-in screen, select Forgot your password?, enter the email address used by your account, and choose Send Recovery Email. Check that inbox and its spam folder for the reset link.
Why is my email rejected on sign-in?
Enter a complete email address without spaces and sign in with your account password. If the web app reports that it could not verify the sign-in, try again; the web sign-in flow also performs a reCAPTCHA check.
Can I use the same account on web and mobile?
Yes. Sign in with the same Boxymi account on both clients. Your cloud workspace data stays synchronized, although some workflows are web-only and guided item creation is mobile-only.
Deleting your account
How do I delete my Boxymi account?
Open Account, choose Delete account, and confirm the deletion dialog. The app treats this action as permanent and signs you out after deletion.
Can a deleted account be restored?
No restore workflow is available in the current apps. Treat account deletion as irreversible and confirm that any workspace ownership or team access has been handled before deleting the account.
Team Management
Workspace owners manage membership, while each member's role determines the actions available inside that workspace.
Managing members
How do I invite someone to a workspace?
Open the active workspace's Team area, select Invite member, enter the person's email address, optionally enter a username, and choose Creator or Contributor. The invitation applies only to the active workspace.
Who can change roles or remove members?
The workspace owner can invite members, change an existing member's role, and remove members. These controls are intentionally unavailable to other members.
Why can I not invite another member?
Confirm that you own the active workspace and that its member limit has not been reached. Current limits are 2 members on Free, 5 on Starter, and 10 on Growth; Scale capacity is tailored.
Roles & permissions
What is the difference between Owner, Creator, and Contributor?
The Owner controls the workspace, its team, and billing. Creator is the assignable full-control role for items, groups, members, roles, and settings. Contributor can view and update items and view members. Some operational workflows also perform their own permission checks before allowing approval or inventory changes.
Why is an action missing or disabled?
Actions can be restricted by both the workspace plan and your assigned role. Ask the owner to verify the active workspace, its plan, and your role; for approval workflows such as cycle counts, the action may also require the designated creator or approver.
Inventory & Transactions
Item records describe what you track; inventory records and transactions explain how much exists, where it is, and why it changed.
Items & attributes
What information can I store on an item?
An item can include a name, description, SKU, barcode, QR code, image, category, tags, price, quantity, minimum quantity, location, and supported lot or variant details. Use identifiers consistently so search and scan workflows can find the correct record.
How are variants different from ordinary items?
Variants group related versions into one product family, but every variant remains its own item with separate SKU, barcode or QR code, attributes, location, and quantity. Variants require a paid workspace plan.
Can I add or update many items from a spreadsheet?
Web Yes. The import and reconciliation flow accepts CSV and XLSX files. Select a worksheet, map columns, choose how rows match existing records, and review proposed creates, updates, adjustments, and skipped rows before applying them.
Locations
How should I organize locations?
Create root locations for main sites such as warehouses, vehicles, or job sites. On paid plans, add child locations for zones, rooms, or shelves when the extra level improves accuracy. Item quantities remain attached to the exact location where they are held.
What is the difference between a category and a location?
A category answers “What is it?” and a location answers “Where is it?”. Use categories to organize similar items and locations to record the physical or operational place holding their quantity.
Orders
When does a purchase order increase stock?
Web Stock increases only when a receipt is posted, not when the purchase order is approved or marked ordered. Accepted quantities enter their selected destinations; rejected quantities do not.
When does a sales order reduce stock?
Web Stock decreases only when a shipment is posted, not when the sales order is approved or confirmed. Each shipped quantity is deducted from its selected source location.
Why can I not open purchase or sales orders on mobile?
Purchase orders, sales orders, supplier records, and client records are currently web-only workflows and require a paid plan.
Stock movements
Should I use an adjustment or a transfer?
Use an adjustment to correct the quantity at its current location after a count, loss, damage, or another discrepancy. Use a transfer when stock is physically moving from one Boxymi location to another.
When does a transfer change each location's stock?
Shipping removes the shipped quantity from the source and places the transfer in transit. Receiving confirms the full or partial quantity added to the destination. Cancelling closes a transfer that should not continue while preserving its history.
Inventory counts
Does entering a cycle-count result immediately change stock?
No. Recording and submitting a physical count creates a result for review. Inventory changes only when an authorized user approves and applies a difference; a matching count closes without changing the stored quantity.
Can my team count on mobile?
Yes. A count can be planned and assigned on the web, and the assigned member can enter and submit counts from the mobile app. Planning, review, approval, and application remain web workflows.
Why can I not apply a completed count?
Cycle counts require a paid plan. Applying a difference also requires the relevant item-update and adjustment-approval permissions, and only the count creator or responsible approver may be allowed to apply it.
Transaction history
Can I edit stock from the Transactions page?
No. Transactions is a read-only activity log. It shows what changed, where it happened, who performed it, quantities, status, and the source record. Start an adjustment, transfer, receipt, shipment, or other appropriate workflow to change inventory.
How can I find one specific inventory change?
Web Search or filter Transactions by date, location, transaction type, status, item, user, or reference, then open the source record for its complete details.
Low stock alerts
How do I enable a low-stock alert?
On a paid plan, open the item's stock record for the location you want to monitor, enter its minimum quantity, enable Low stock alert, and save. The minimum and alert setting apply to that specific item-location pair.
Why did an alert not appear immediately?
Low-stock situations and email summaries are updated by scheduled reviews, not continuously. Check the Low Stock schedule, workspace timezone, and configured review time in Alert Settings.
Who receives low-stock emails?
Alert Settings assigns users to root locations and controls Low Stock email delivery for each user. Emails are sent during configured review windows for the assigned roots. Acknowledging an alert does not change inventory; replenish, transfer, or correct the stock to resolve it.
Inventory link
Can I share a live inventory view with someone outside my workspace?
Coming soon The current Boxymi apps do not provide a public or shareable inventory link. Invite the person as a workspace member only when they should have authenticated access under a Boxymi role.
Barcode Labels
Scanning existing identifiers is supported today; generating, designing, and printing labels inside Boxymi is planned.
Designing labels
Can I design barcode or QR-code labels in Boxymi?
Coming soon In-app code generation and label design are not currently available. You can save an existing barcode or QR-code value on an item and continue using your current label-design method.
Printing & hardware
Can Boxymi print labels directly?
Coming soon In-app barcode-label printing and printer setup are not currently available.
Can I use a camera or connected scanner?
Yes. Supported workflows can scan QR codes and barcodes with the device camera, and web workflows can accept a connected scanner while the relevant barcode, QR-code, or SKU field is active.
Troubleshooting
Why does a scan return no item?
Confirm that the scanned value is saved on the item in the matching Barcode, QR Code, or SKU field. Activate the relevant scan field before scanning, and verify that the scanner is sending the complete value.
Why do I see multiple matches?
More than one item matched the scanned identifier. Select the correct result, then review your item records and keep identifiers unique wherever the workflow depends on an exact match.
Why will the camera scanner not open?
Grant Boxymi camera permission when prompted. If permission was permanently denied, open the device or browser settings and enable camera access, then return to the scan workflow.
Reporting
Built-in web reports focus on transaction history and completed cycle counts.
Inventory reports
Which reports are currently available?
Web Boxymi provides a transaction report for filtered inventory activity and source details, plus a cycle-count report for completed counts, expected quantities, results, and variances. Reports are available across current workspace plans.
Why can I not find Reports in the mobile app?
Transaction and cycle-count reports are currently web-only. Mobile provides operational item history and assigned tasks, but not the full report workspace.
Custom analytics
Can I create custom dashboards or report formulas?
Coming soon Custom analytics dashboards and user-defined report formulas are not currently available. On the web, you can export item search results to CSV when you need to continue analysis outside Boxymi.
Integrations & API
Boxymi does not currently expose self-service integrations or a public developer API.
Integrations
Can I connect Boxymi to accounting, e-commerce, or automation tools?
Coming soon No self-service third-party integrations are available in the current apps. The Scale plan includes integration planning for tailored operations; contact Boxymi to discuss that route.
API
Does Boxymi have a public API?
Coming soon A public, documented API with customer credentials is not currently available. Do not build against the private endpoints used internally by the Boxymi clients.
Security & Privacy
Current controls cover authenticated access, workspace permissions, sign-in verification, and account deletion.
Data protection
How is access to workspace data controlled?
Users must sign in and belong to a workspace. The workspace owner controls membership and assigns Creator or Contributor access, while protected actions perform role and permission checks. Remove a member when they should no longer have access.
What sign-in protections are visible in the apps?
The web sign-in flow uses reCAPTCHA verification and authenticated sessions use access and refresh tokens. On native mobile, Boxymi stores session credentials with the platform's secure-storage facility. These client controls do not replace your own password hygiene or team-access reviews.
Where can I find details about encryption, retention, residency, and backups?
Coming soon The current product sources do not provide a customer-facing data-protection specification for these topics, so this FAQ does not make unverified claims. Contact Boxymi support for requirements that must be confirmed before adoption.
